Exporting/Transferring Georgetown Google Workspace Data
We are committed to letting alums keep their Georgetown email for life. Originally Google had offered unlimited space for Education Workspace accounts, but has decided to limit storage. In order to maintain storage space for current students, faculty, and staff, we need to limit storage space by reducing Google Workspace to email for alums.
Due to changes in Google's storage policy we do ask that alums transfer content from Drive, Photos, other non-gmail services, to a personal Google account at takeout.google.com/transfer or download using takeout.google.com
You can check storage usage here.
Note: takeout.google.com/transfer can only copy Drive and Email. For all other services download your data at takeout.google.com
Google has not provided an easy way to move photos from one account to another (you can use takeout to download them and then upload them to another account). The process detailed below may help.
Transfer photos to a personal Google Workspace account
*Note: Files are shared with the partner account, but not transferred to the partner account or deleted from the source account in this process. It is necessary to bulk select photos from the old account to remove them. Be sure to go to "Save to your Account" and choose All Photos from the partner account so when the photos are deleted from your Georgetown account ownership will be transferred to the partner account.
To do this, follow Google's instructions to set up partner sharing.
- Enable partner sharing from your Georgetown account, selecting your Personal Google account as your Georgetown account's partner.
- Accept the sharing request.
- "Save your partner's photos" in your personal account under Settings - > Partner Sharing.
- When the process has fully completed (this may take some time), delete all the photos in your Georgetown account. This will move them to the trash. Warning: Please confirm once moved to trash in your Georgetown account that they are still accessible in your personal account. Then delete a file from Trash to make sure that it is still accessible in your personal account. It no longer will show up in your sharing section, but should have been copied to your personal account photos. Once you have confirmed that your photos are still available in your personal account, delete all photos from the trash.
Download photos to move them to another storage location of your choice
- Navigate to https://photos.google.com/ and log in using you Georgetown email address.
- Select the checkbox in the upper left corner of your first photo. Hold down the shift key, and navigate to the last photo you want to download. Select that last photo's checkbox, and release the shift key. This will select all photos in between, Note: Using your browsers Zoom function will allow you to show more photos and select more at one time.
- Press Shift+D or select the blue vertical ellipsis in the upper right corner to see other options and choose download. A Zip file of all selected photos will download.
- Upon confirmation that the download is complete, again select all your photos, and then choose the blue trash icon to move them to your trash and then empty your trash to permanently delete them.
